Vendor Compliance Requirements | Spectrum Association Management

Thank you for your interest in joining our vendor list! Spectrum’s compliance requirements are based on the type of service your company provides to our associations. Please choose from the options below to see what is required for your services.

Full-service vendors. These companies routinely go on property to provide services. These can include monthly/quarterly/annual contracts, projects being completed on community property, or service calls to repair association amenities. Most companies working on site fall in this category. Categories: Access control, construction, electric or lighting services, general contractor, fencing, holiday decorating, HVAC, landscaping or irrigation, lake management Painting, pest control, playscapes, plumbing, pool management, porter or cleaning services, roofer, sign installation, basin management, on-site security, street or pavement repair, towing, trash services.

Full-service

Current W-9. The current IRS form is from Oct 2018. W-9 form must be signed. To be upload during registration. Can be located here: https://www.irs.gov/pub/irs-pdf/fw9.pdf
Master Service Agreement. This will be completed electronically during the registration process. This agreement is completed once for work with any of our associations.
Certificate of insurance. One to be provided to Spectrum and be valid for all associations we work with. See certificate holder information below.

If not uploaded during registration, the COI with above requirements can be emailed directly from your insurance company to [email protected].

Limited-service vendors. These companies provide more one-off services with minimal time spent on property. Categories: Event rentals, event entertainment, inflatables, food trucks, locksmiths, scouts or rotary, reserve studies, other property inspections.

Vendor Agreement. This will be completed electronically during the registration process. This agreement cis completed once for work with any of our associations. It will outline terms and conditions (including indemnification) or working with our associations.
Relevant certificate of insurance for services rendered. These are considered general liability, workers compensation, and automobile coverages.

Off-property services. These companies do not come on property to complete their services. Categories: Attorney, CPA, sign creation, printing, storage facilities, security monitoring only, website maintenance.

Registration is not required online and your form can be sent directly to [email protected] or to the community manager you are partnering with to be registered.
