Previously, we have written about steps board members can take to protect themselves and their associations from experiencing a data breach. However, board member and homeowner efforts are only one piece of the cyber security puzzle. What do we, your management company, do to protect your data from unsavory third parties?

We make cybersecurity a priority here at Spectrum Association Management. In fact, it’s one of the things that sets us apart from the crowd in the world of HOA management.

While no strategy can stop all potential cyber security breaches, we go to great lengths to keep your data safe.

Here are three ways we protect your data:

We utilize 128-Bit Encryption.

Using this military-grade encryption software means that every file on our servers is protected from hacking. It would take a hacker years and specialized cryptographic software in order unencrypt our systems.

We use an industry-leading SSO: OKTA.

Okta is an enterprise-grade, single-sign-on software that is designed to reinforce the idea of passwords. It ensures only a company’s verified and validated employees can access its applications. This cloud-based service runs on a secure, reliable, and extensively audited platform.

Not only does it offer a highly secure, randomized password combination for every application used at our company, it also enforces a two-factor verification check for any connection outside of our secure zones.

In other words, OKTA prevents outsiders from getting in. One of the best ways it does this is by allowing us to block all interactions with countries that we do not do business with.

Our greatest resource for data security: our people.

SpectrumAM recognizes that the greatest source of data breaches comes not from inadequate software, but from people. The old war-time saying of “loose lips sink ships,” has never been truer in today’s hyper-connected world.

We train our employees extensively on the importance of data security and everything they can do to prevent information from getting into the wrong hands.

While no system of education is perfect, we have partnered with Boardline Academy to create coursework designed to teach our employees best practices with data security. We believe this will go a long way to helping ensure that your data doesn’t end up in the wrong hands.

While all employees have to go through a series of Boardline Academy courses in the weeks after they’re hired, we also send regular emails designed to educate and remind our employees of what phishing attacks look like and urge them to use best practices when responding to emails.

In today’s hyper-connected world, we can’t guarantee that there will never be a data breach on our end, or that mistakes will not be made. We can guarantee, however, that we have done everything within our resources to provide the best protection for you, our customers, and that we stand far above the competition (and will continue to do so) in our efforts to protect your data.
